Winern Glebe Allotments Society Data Protection Policy

Mindful of recent changes in legislation, including GDPR (General Data Protection Regulation) that comes into effect on 25th May 2018.  Winern Glebe Allotments Society’s Data Protection Policy is outlined below.

Your Consent

When you have contacted Winern Glebe Allotments Society to go on our waiting list and then subsequently become a plot holder, you have agreed to pass to us your name, address, telephone number i.e. landline or mobile and if you have one an e-mail address on the application form. If you do not want your data to be held, then you will not be able to join our waiting list or remain a plot- holder.

Use of Plot Holder Details

Your details are held by the Secretary/Treasurer on a secure computer (and also your initial hard copy application form is stored securely). This is to advise you and keep you up to date of AGM’s, rent due, events happening at the allotment and general informative news to administer your membership.

Sharing your data

We do not pass on or share your details with any third parties. If you are a winner in Woking Borough Council’s allotment competition, we will notify you first for your consent to pass on any details. Only officers of the Society may from time to time share the data to perform their duties.

Members are reminded:

  • To inform the Secretary if their personal details change e.g. mobile phone number, e-mail address, change of address as without personal updated information we are unable to rent you a plot.
  • If you leave the Society, data will be held for a reasonable time in case you need to be contacted about your former plot. Your data will be deleted 4 months after your leaving date.
  • Individual members are welcome to ask for details of any of their personal data the Society holds on them.

The Committee of Winern Glebe Allotments Society will ensure that all data protection legislation is adhered to and will protect securely any data that it collects.
